Managing Your Email Contacts: Lists and Segments

It is imperative that the club creates a segment or a list prior to sending off their email message. Review our help sections on Lists, Segments, and All Contacts.
 

Uploading Images, Documents, and Sounds: Using the File Manager

When creating or editing an email message you have the ability to add media that has been uploaded and hosted within clubbroadCast. You can upload files when creating or editing the email or you can use the Hosting section to upload, delete, and manage all your online files.

Delivery Groups


Delivery groups enable you to better manage your email marketing messages by grouping them together. Delivery groups are great for a series of messages in a life-cycle, a multi-message promotion, and even newsletters. The aggregate reporting provided by delivery groups helps you to spot trends, anomalies, and helps provide insight into which messages are performing the best.

Export Utility

The clubbroadCast Member Export Utility is responsible for uploading your club’s Jonas member information up onto the clubbroadCast servers. In order for your information to update on a regular basis, it should be left running at all times. It is due to this fact that it is recommended that the clubbroadCast Member Export Utility run on a dedicated workstation. To start the clubbroadCast Member Export Utility, open an instance of Jonas Management System and log in as “CBCAST” with one black space as the password.

9. How can I check to see if a member received/opened the email I sent them?

There are two ways to look to see if a member received/opened your email

Export Utility

The following instructions outline the process of exporting member information from either of the ClubConnect® or ClubSelect® Accounts Receivable databases to clubbroadCast Email Marketing. This utility has been previously setup by your clubsystems group Web Representative and has been scheduled to run at a predetermined interval, and as such it is not necessary to manually run the export program. If at any time you would like to run the export utility, please follow the following procedure.

Fields

Fields allow you to store additional information about your contacts - first name, postal code, age, etc. You can also use fields to personalize your messages and segment your lists.

Replies

Replies are emails sent from your contacts in response to your messages. Depending on the nature of your message, replies can be an important metric. For instance, a personalized message sent from your sales team should solicit email replies. Also, message replies sometimes get caught in spam filters or junk folders. By aggregating replies, we ensure that you have easy access to messages from your contacts.
 
A: Replies are emails sent from your contacts in response to your messages.
 
 

10. I have a member and a spouse that shares an email address. How do I add both contacts?


Each contact must have a unique email address.

To start the clubbroadCast Member Export Utility, open an instance of Jonas Management System and log in with User I.D “CBCAST” password is one blank space (press the spacebar once).

Templates

Templates are like email stationery or letterhead - they separate the content of your message from the overall design. You can use a standard template design for each message, replacing only the body text and images with new content. When creating template messages, you can either choose from our library of default templates, or upload a custom template.
