Sending a Message

When it comes time to send your message, you will need to set the parameters that define how, when, from whom, and to whom the message will be sent. The Send Message page lets you set all of these parameters and apply some additional advanced options to make your message send as easy as possible.



There are three send types

Send: send out your message

Send A/B Split:

A/B splits are used to test the effectiveness of different types of message content across a list of contacts. To begin using the A/B split feature, click the Send A/B Split button.

Send Test

To send a test message, click the Send Test button on the Message Overview Page. The Send Test option lets you send out a test delivery of your message to ensure that the message is ready to be mailed to your contacts. Test messages can be useful for checking client rendering, proofing copy and content, or just ensuring that the boss likes it. However, the most important reason to send a test message (rather then sending a normal message to a test list) is that test messages are not included in aggregate reports. This means that if you send 3 or 4 test messages, you won't clutter up totals on the message report for the "real" or non-test version of the message. In addition to less clutter, you won't have to spend time creating special delivery groups and tweaking message report parameters to separate the test data from the real data. Using the Send Test button clearly separates the metrics for your test deliveries from your regular deliveries, so there is no getting the two data sets confused. Test messages are also clearly marked on the Recent Deliveries page. This can help you to see which messages have already been tested, and which haven't.

Specifying A From Name, From Address, and Reply Address For Your Message

  • From Name - The from name, also called an alias, is the name that appears to the recipient of the message.
  • From Address - The from address is the email address that your message will appear from.
  • Reply Address - The reply address is the address that the application will forward replies to.


 

Enabling Sender Authentication And Reply Tracking

  • Enable Sender Authentication - Checking the Enable Sender Authentication box will sign your message with DomainKeys/DKIM. DomainKeys is an authentication technology, developed by Yahoo!, that works by creating a digital signature of the contents of an email. This digital signature is verified by the receiving mail server to ensure that it is not forged. DKIM is a variant of DomainKeys and is also supported by the application. To enable DomainKeys, you must enable Sender Authentication when scheduling a message for delivery. Both DomainKeys and DKIM can optimize your message delivery to Hotmail, MSN, and Yahoo! email addresses.
  • Enable Reply Tracking - Enabling Reply Tracking will store a copy of all replies to your messages on the Replies page. You may find this option convenient if you need someone other than the email address in the From line to read replies, or simply want the application to store replies. You will notice that when you enable reply tracking, the from address will change. In order for Reply Tracking to function, the domain of the from address needs to be the same as the originating mail server. This change also allows the SenderId framework, which provides additional sender verification, to be fully enabled. If you would like to have maximum sender verification, then Reply Tracking should be enabled.

Selecting Message Recipients

In the Select Recipients section, you will choose who will receive the message. You can choose to send to specific lists or segments by clicking the checkbox next to the name of the lists or segments you wish to send to. You can click on the Lists tab or the Segments tab to switch between viewing all your lists or all of your segments. You can also use the search box to search for specific lists or segments by name. The lists and segments that you have selected will be displayed under Selected Lists and Selected Segments.

Note - The application ensures that contacts will only receive a single version of your message, even if they are on more than one recipient list.



 

Scheduling A Delivery

In the Delivery Scheduling section, you will specify when the message will be sent out. If you wish to send the message immediately, you can click the Send Message now radio button. If you wish to pick a specific time to send the message, follow the instructions below.


To send your message at a specific time:

  1. Click the Send at this time radio button.
  2. Click in the Send at this time text box to reveal the pop-up calendar.
  3. Select a specific year, month, and day to send the message.
  4. In the adjacent pull-down menu, choose a specific time of day to send your message.
  5. Specify the delivery rate for you message using the Send Emails pull-down menu.
Tip - - Many major ISPs track a sender's reputation based on the number of unsolicited email complaints that they generate over a certain period of time. The worse your sender reputation is with ISPs, the more likely you are to have a low sender rating in the application. Spreading your delivery over time can help mitigate the impact of this issue, help ensure optimal deliverability, and mitigate traffic spikes on your website. For example, 20 unsolicited email complaints received over 8 hours, though certainly undesirable, will be a softer blow to your sender reputation and sender rating than the same 20 complaints received over 15 minutes. Verifying Your Delivery Options

Once you have chosen all of the options for sending your message, click Next. You will be brought to the Verify Delivery Options page. From, here all you need to do is review the options you have selected and click Send Delivery when you are finished.

 

Warning - A message cannot be recalled or retracted once sent. Due to the way email works, no provider is able to recall messages that have been sent out. You can cancel a message that has been scheduled, but hasn't been sent, or is being sent, but hasn't completed. To do this, go to Messages->Outgoing. Select the message that you'd like to cancel, and then click the Stop Delivery button. You will then need to OK the warning message to finalize the cancellation.
 
Note - Small deliveries going to less than 10,000 contacts should deliver in a matter of a few moments. Larger deliveries will take longer. The application sends messages on a first-come/first-served basis. If you schedule your message in advance, there is greater likelihood that you'll be first in line, and will therefore have a quicker message delivery.


All Messages

From the All Messages page, you can see all of your messages. By default, the All Messages table is sorted to show the most recently edited messages first.


All Messages Table Column Headings

Message: name of the message
If you click on the word Message it will organize the messages alphabetically, click again and it will reverse the order.

Last Edited: last date and time the message was modified
If you click on the word Last Edited it will organize the messages by date and time, click again and it will reverse the order.

Total Deliveries: number of times the message has been sent out
If you click on the word Total Deliveries it will organize the messages based on the number of deliveries click again and it will reverse the order.

Icons to provide more options for the message.
Go to Containing Folder, Send Message and  View Message Report


Note: If a message  has not meen delivered then the View Message Report Icon will not appear because there is no messages to report on.

Go To Containing Folder Icon: redirects you to a page that is the folder where the message is located in.

Send Message Icon:
redirects you to the Send Message page.

View Message Report:
 redirects you to the Message Report for the message that you have selected. You can find more help on delivery reporting within the Reporting section.
 

All Messages Table Actions

From this table, you can move, copy, delete, add any messages to a campaign by using the Move, Copy, Delete, and Add To A Campaign buttons.

First check the box beside the message that you want to perform the action.
Click on the action you want.

Move: moves the message into another existing folder.

Copy
:  makes a duplicate copy of the message. The word copy will be added to the message name and you can rename the message afterwards.

Add to Delivery Group
: includes the message into an existing Delivery Group or create a new Delivery Group for reporting purposes.

Delete
: removes the message and place into the Trash Can
