What is a Segment?

Within this section, you will learn how to create segments and how to incorporate segments into a successful email marketing campaign.


Before we learn how to create and use segments, let’s answer the question ‘What is a Segment?’ A segment is defined as a group of contacts grouped together based on a set of criteria established using field data, email behavior, geographic location, what lists they may or may not be on and even the technology they use to access their emails.
 
 
Contacts automatically move on and off of segments based on whether or not they match the criteria associated with that segment, thus requiring very minimal - if any - maintenance.

Segments are updated or “refreshed” both manually and automatically at various intervals ensuring the most accurate data is referenced. Automatic updates occur prior to the scheduled delivery of any email to a given segment.

The application will automatically include new contacts in the appropriate segments when you import new contacts as well.
If your segment count does not automatically reflect what you think should be the correct number, click Refresh to manually refresh your segment.
 


Creating a Segment

To create segments, you need to understand the basics of segment composition. Segments are composed of one or more Rules that define the contacts you want to include.

For each Rule, a segment can have one or more Criteria. Criteria can be considered the sentence that defines the segment. Similar to a sentence, Criteria are made up of various parts that, when combined, form the Criteria.

These parts are the Operator, the Condition, and the Value. The Condition allows you to indicate how you want to compare the Subject to the Value(s) you’ve entered.

In the example below, the Operator is the “memberstatus” field for every contact. The Condition is that the Operator (memberstatus field) “is” one of the Values entered. The Values entered are “Active”, “Spousal” or “Dependant”.
 
 
Defining all of this will, in a sense, create a sentence. In the above example the sentence would read ‘Provide me with all contacts where the memberstatus is Active, Spousal or Dependent.’
 

Segment example

This example explains the steps for creating a segment of people who are considered active members at the club.
     
To create this segment click on “Contacts” in the navigation menu and select “Segments” from the drop down list.













 
This will take you to the All Segments interface.
 
 
The “All Segments” page provides a tabular view of all of the segments that have been created within your clubbroadCast account.
     
     
Click the “Create Segment” link in the top right hand corner of the “All Segments” screen. Which will take you to the “New Segment Builder”
     
     
First give your segment a name, to do so click on the existing name.  
     
Enter the name you want to identify the segment by in the first input field for this example, we'll use "All Active Members”. The segment name cannot contain double quotes, less than signs, or greater than signs.  
   
 
     
The second input field is for the description but is not necessary, although it may help differentiate your segments in the future or assist others in determining its purpose.  
   
     
Click on the “Advanced” button in the top right hand corner to open a popup window with advanced settings.  
   
 
   
In the “Advanced Segment Options” ensure that the “Match Type” selection is set correctly. “Match All Rules” will set the segment to only include contacts who match each rule you enter.  “Match Any Rule” will include all members who match at least one of the rules you enter. Also, you will want to set the “Show” selection to “Only Active Contacts”, which will only show contacts who have an Active status within clubbroadCast.
     
In Rule 1, click on the “Contacts” button, which will present a list of criterion available based on information associated with your contacts, and select Fields.
This will tell clubbroadCast it will be referencing field data for the contacts in this rule.
     
Next, click the “Add A Field” button which will open a popup with available fields  
     
You can search for the field you want to reference; in this case we’re looking for the “memberstatus” field. Select the field and click the “Select” button in the bottom right corner.  
     
     
Next choose the “Condition” of the criterion. For this example, we will choose the “is” condition.  
     
Next, add a Value that the segment will use as the filtering criteria.

For this example we entered "Active", “Spousal” and “Dependant” to include all contacts whose “memberstatus” field is one of the entered values. It is important to remember that value(s) you enter should reflect the information as it would be entered in the field. If you have a Member Status named ‘Spousal’ and you enter ‘Spouse’ as a value no contact will match value since the two are not the same. Always make sure the values entered correspond to actual values in the Contacts database.
     
     
Now click on “Calculate” in the top left corner, just below the segment name.

You will see the total number of contacts that will be included in the segment once complete.
 
   
You will also see a breakdown of how many contacts would be included in the segment based on satisfying any or all rules, how many contacts satisfy each rule, and how many contacts satisfy each criterion within a given rule.

 
 
     
To note if you want to add additional rules you can click the “Add Rule” button which will add an additional criterion builder into the segment. For each Rule, you can set one or more Criteria as well.  
     
Click Save & Close and our newly created segment will be complete and active.
