Updating Information on the Website

The information on the website can appear differently depending on who (member or guest views compared to when an administrator is logged in and working on updates) is viewing the website.

To ensure that the information on the website is current, there are a few things the administrators should look for. Most importantly, after saving a page, they need to remember to publish when it's ready in order for it to be seen on the live website.
   

 

Color Status Indicator


A quick way to determine whether the live website has current information is to look at the color status indicator beside the page found in the Content Tree. If a GREEN CIRCLE and white check mark is visible then the page has current information.

There will be one of three status indicators presented to the right of the page name.

What do the color Status Indicators mean?


 These indicators make it easy to identify whether a page has current information on the website.
 
  • Red Circle with White X = Not Published Page = page only viewable by administrators
  • Green Circle with White Check mark = Published Page = everyone is viewing the same information for the page (administrators, public/guests/members [depending on security settings]) 
  • Orange Diamond = New version not yet in the Published step = information that administrators see is different from what the public/guests/members see (depending on security settings)
 

 

View Modes (Edit, Preview, and Live)


In addition to the three different Status Indicators there is also 3 different view modes. These view modes are used to Edit content, Preview the changes that have been made, and see how it looks on the Live website.

Edit Allows the administrator to add/edit/delete content (text, images, hyperlinks) within a page. The page will have dotted line boxes where these changes can be made. They are referred to as ‘Editable areas’
Preview After new changes have been made and saved. The Preview mode will allow Administrators to see the changes they have made without the dotted lined boxes. Here they can also test Hyperlinks to ensure that they were linked correctly and view custom styling created by our Graphics Team.
Live Site Shows what will be displayed if someone were to visit this particular page on the website right now. If changes are still being made and the Published button has not been clicked on. It is possible that what is displayed on the Live Site is different from what the Administrators see in Preview mode.

Save and Publish


To Transition between the different Status Indicators and view modes there are two important buttons, Save and Publish.




 SAVE Button – saves the modifications made on the page
  • The page will still be in Edit mode and on the screen with the Editable boxes (Boxes with the dotted lines)
  • These changes are only viewable by Administrators
  • After Saving, the PUBLISH button will appear beside the SAVE button
  • The color status indicator will now be an Orange Diamond
    • If the page has never been Published, then the status indicator will still be a Red Circle with a White X

 

Publish button: Appears only after the content has been added, edited or deleted from the page in Edit mode and the changes have been Saved.
Once the Publish button has been clicked on, all new changes to the page will now be visible to anyone that visits the website (depending on security settings).
Note: It is recommended that the new changes be viewed in the Preview mode first, switch back to Edit mode and then click on Publish.
 

 

Here’s an example to make changes to the Contact Us page


1. In EDIT mode – make changes to the page: Add/Edit/Remove text, images or hyperlinks
2. Click on SAVE – Save changes that have been made. Page will still be in Edit mode and on the screen with the Editable boxes (Boxes with the dotted lines)
  • PUBLISH button will now appear beside SAVE button
  • color status indicator will now be an Orange Diamond
  • if the page has never been Published then the status indicator will still be a Red Circle with a White X



3. Click on Preview – to view the page as it would appear on the website
  • The content will now appear without the boxes with dotted lines
  • Ability to test hyperlinks that were created
  • Custom formatting code will be applied such as Heading Tags (custom font, size, or color) that was styled by the Graphics Team
  • If the Live Site button was clicked on at this point, the content displayed will still be the old information
  • Only administrators will be able to view the new changes



Once the information has been double and triple checked in Preview Mode, and ready for it to be seen on the Live site

4. Switch back to EDIT Mode
  • (Optional) Click on Spell Check button at the top to check for spelling errors
  • If this is the first time the page is about to be Published, make sure that the Security is already set up for the page (who is the audience for this page)
5. Click on PUBLISH button
  • The Publish button will disappear until new changes are made and saved on that page
  • The color status will now have a Green Circle with a White Check mark
  • Now everyone is viewing the same information for the page, such as admin, public/guests/members (depending on security settings)
Click on Live Site - this will display the new changes that were made on this page.
Live – is the actual information that the general public/members would see on the website.



Remember that what an administrator sees on the website can be different from what a user sees on the live site. This depends on whether or not a page has been published. If only the Save button is clicked on after making changes to a page, only the administrators can see these new changes in the Edit and Preview mode. The general public and members are still viewing the old information on that page, until the administrators click on the Publish button from Edit mode.
 
Tip: If there is an Orange Diamond icon beside the page in the content tree, that means what administrators see on the page is different from what is on the Live Site.

Some examples of why a page may not be published:
  • The page is incomplete and not ready for viewing on the live site
  • It is pending approval (where applicable)
  • You would like to create your page(s) ahead of time and you do not want the page viewable until a later date
  • Club personnel simply forgot to publish the page
In these cases the members would see the last published information, or if the page has just been created and never published, the page will not appear on the live site. Once the page is ready, it can be published to the website, and it will be visible to the members.
