Configuring Dining Facilities


 
 
The Dining Reservations module uses JAM facilities to dictate what location the club will be taking reservations for and what tables will be located there.
 


To configure a facility for Dining Reservations you will need to follow these steps.
  1. Click on the Facility you wish to setup for Dining Reservations
  2. Once selected click on the Dining Reservations tab
  3. Check off the 'This Facility can be reserved for Dining Reservations' box
  4. Click on the Meal Period Settings button to configure what times this Facility is available for Reservations

Reservations cannot be Booked Online – This setting allows a facility to be used for online reservations but prevents reservations from being booked online by hiding the facility from the Dining Search.

Meal Period Settings

The Meal Period Settings dictate what days and times a specific Meal Period are available. The Active Date Ranges are based on a day/month schedule and remain constant regardless of the year. This allows the availability to be setup for specific days and/or weeks at a time.

Example:
JAM Meal Periods Settings
Facility: Grill Room
June 1st – September 30th
Lunch 11:30 – 1:30
Dinner 5:00 – 9:00
 

Active Ranges

Active Date Range

Specify the Starting Date and Ending Date which the Meal Periods will be available.

Note: Date Ranges cannot carry over to the following year. They must take place within the same year (i.e. 01 January - 31 December).

Active Time Range

Specify the Starting Time and Ending Time which the Meal Periods will be available.

 

Online Dining Search

The Online Dining Module above displays times that are available starting at 12pm and stop at 1pm ET. This is the Lunch Meal Period that was setup in JAM in the previous image above. The last available time online is 1pm because the Turn Rate that has been set up (for a party size of 1) is 30 minutes. So in order to complete this reservation online you would have to make it 30 minutes before the end time which Is 1:30 for lunch. The same scenario would apply for the Dinner Meal Period which ends at 9 but the last available time is 8:30.



Meal Periods


 
Meal Periods are used to denote a portion of the day where a specific meal will be served. Meal Periods are utilized when setting up the Meal Periods Settings within a Facility. These are used to create the Active Ranges which the Online Dining Search utilizes.
 

 

Table Types


 
Table Types in Jonas Activity Management define what type of seating options are available. Table types will usually be defined by shape and party size. The party size parameter specified here will dictate how many people each table will accommodate. Table Types will not be seen by your members but when searching for availability online, these parameters will be utilized to complete a booking.
 

 
The settings in Jonas Activity Management for each table type are broken down into 3 sections which are seats, minimum cover and maximum cover. The parameter for seats directly states which party size this table falls under. The minimum and maximum covers will control a table's availability.
Example: if you have a Table Type that seats 4 and you set the minimum cover to 2, this will allow any tables using that table type configuration to be listed as available when attempting to book online with a party size of 2. An additional setting that is specified here is the Turn Rate that will apply to the Table Type.
 

Configuring Dining Tables


 
Dining Tables represent the number of tables that your club has or that can fit into a specific facility. Each table listed in this section is given a number and associated to a specific facility. This allows Jonas Activity Management to determine what tables are available for booking and the online module to determine which tables should be taken into account when conducting an availability search.
 


The configuration of each Table requires the following parameters to be chosen.
  • Table Type – Which Table Type Configuration will be applied to the Table.
  • Facility – Which Facility this table is associated with.
  • Default Turn Rate – This is an override that can be used instead of the Turn Rate associated with the Table Type. If no Turn Rate is chosen then the Table Type’s Turn Rate will be used.
  • Table Number – The number that is given to the table to distinguish it from the others.
  • Active – Whether this table is available to be booked or not.
  • Override Table Type – Whether you wish to override the Table Type settings for:
    • Seats
    • Minimum Covers
    • Maximum Covers
 

 

Configuring Turn Rates



 
The Turn Rates that are setup in Jonas Activity Management are used as a guideline for the amount of time a particular party size will occupy a table from the moment they are seated till the moment they leave. Even though a particular Turn Rate is setup for a particular Party Size, Jonas Activity Management will allow you to override that setting to complete the reservations. This is not the case for the Online Dining module as it must follow these turn rates exclusively with no exceptions.
 

 
A single Turn Rate must be set up and will cover all party sizes that your Dining Tables will accommodate. Each Party Size will have an associated Turn Rate Time associated with it. The Turn Rate Time is listed in minutes and the general rule of thumb is that the larger the party size the higher the Turn Rate Time is set.
Note: Ensure smaller Party Sizes have lower Turn Rate Times so that online availability is maximized.

Reservation Details Options

The intervals in which the available timeslots in Activity Management and on ClubHouse Online are displayed stem from this setting found in Activity Management. The interval setting has two available options: 15 minutes or 30 minute intervals. Changing this setting will update both Activity Management Reservations and ClubhouseOnline Reservations.

 

ClubHouse Online

Club House Online Settings

This section of Dining Settings controls the synchronization between Activity Management and ClubHouse Online.

  • Enable CHO Synchronization – Determines whether or not the JAM Dining Module is integrated to the Web Dining Module
  • Synchronize CHO Data – Initiates the manual synchronization of all JAM Dining Settings, table availability, turn rates, meal periods and booking restrictions.

Booking In Advance Restrictions

  • Minimum – The minimum number of days in advance a booking must be made.
  • Maximum – The maximum number of days in the future a member will be able to complete a booking for.
Note: Restrictions can be set in either days or hours. "0" days for the Minimum equals same day.
