Media Library Overview

The Media Library is the online storage area for images and documents that are used with Email Campaigns. While technically, such files can be hosted anywhere on the web as per the users discretion, the Media Library provides a convenient place within the E3 Email Marketing Module to upload and manage Digital Assests for current and future emails. Primarliy, thes include images such as logos, headers, photos, buttons and the like, as well as PDF documents such as newsletters and dining menus.

The Media Library can be accessed by navigating to the Email Marketing module in Clubhouse Online E3, and clicking the Media Library menu item:


The Media Library can be used to:

  • Upload (add) one or more files at the same time
  • View, find, rename and delete files
  • Organize files using folders
  • Edit and save images
  • Copy and download files
  • Identify or copy the file path (URL)

E3 Media Library Integration

The Email Marketing Media Library is integrated with the clubs Clubhouse Online E3 website Media library. Images and files uploaded to the clubs website Media Library will become available when using Email Marketing. The integration is limited to .JPG, .GIF, .PNG, and .PDF extensions. The images can be found under the Website Media folder on the left hand pane.

This integration is only one way from the Website to Email Marketing, and is not applicable in reverse. That is, files uploaded to the Email Marketing Media Library will not automatically become available on the websites Media library (and would need to be uploaded separately).

 

Basic Functionality I – Panes and Buttons

The Media Library features THREE primary areas or panes.

  • Toolbar,
  • Folder pane, and
  • Files pane.
The image below highlights each of the sections:


Toolbar

The Toolbar is located at the top of the Media Library section. It features an array of buttons/icons that allow for the management of folders and files within the media library, as well as uploading new files. Not all buttons in the toolbar are available at once. Their availability depends on the function and selections being performed. For example, if a file has not been selected from the Files pane, the button will be grayed out.

Below is an illustration of each button and its function(s):

Upload Files
Used to upload files into the Media Library
Download Download
Download a selected file to the local computer
Forward Back or Forward
scroll backwar or forward through pages of files (if multiple pages exist)
Refresh
Performs a refresh to see the most up to date information within the Media Library
Open
Opens the selected file in your browser
New Folder
Creates a new folder in the Folder pane
Copy
Copys the selected file or folder to the clipboard
Paste
Pastes a copied file or folder from the clipboard to the selected folder
Edit
Opens the built-in image editor module
Delete
Deletes the file or folder
Grid View
Toggles Grid-View of files which includes detailed information such as dimensions, size(KB), creation date, and last update. The grid also displays a link icon indicating if a file is used or linked to a campaign.
Thumbnail View
Toggles Thumbnail-View of files. Files and folders are viewed as small (67x67px) boxes. Thumbnails include a preview of the file (if an image) and its name.
 

Folder Pane

The Folder pane offers a convenient way to organize files into various folders. As the Media Library grows overtime, it may be convenient to organize files using a hierarchy of folders. Files can be added to a folder by dragging them from the Files pane to the desired folder in the Folder pane.
To create a folder:

  • In the Media Library toolbar, click the New Folder button OR right-click a folder from the Folder pan & select New Folder
  • Input a name for the new folder
  • Click OK

A folder can be renamed or deleted by right-clicking it and selecting the appropriate option from the menu. Folders can be renamed or deleted if they don't include files used in email campaigns, as indicated by the ‘item is linked’ icon in the Files pane. If a folder is deleted, its files will also be deleted and in most cases cannot be restored. The image below highlights the 'item is linked' icon:

Files Pane

The Files pane displays all currently existing files within the Media Library. File(s) can be selected within the File pane and managed by using the desired links within the toolbar. Alternatively, it is also possible to view available options by Right-Clicking the file (instead of using the Toolbar icons).

By default, the files in this section will appear as thumbnails. If a more detailed information about the files is required (such as dimensions, size, date created, last updated) select the Grid Icon from the toolbar. Below is a visual example of each View:

Searching

The Media Library features a search bar that allows a user to easily search for available image names and extensions. To quickly find one or more files in the current folder, search by file name by typing part of the name in the Search box at the top right. It is not necessary to press the Enter key.

The Media Library filters the files in the File pane to show only files in the current folder that match the search criteria. For example, type ".jpg" to filter the current view to show only files using the .jpg extension.

Sorting

When using the Grid View, it is possible to sort files by their respective properties. Simply click on the name of the column (such as Last Updated) in ascending order, click once more to sort in descending order. For example, to display images from largest to smallest in file size:

  • Navigate to the desired folder in the Media Library
  • Ensure that the Grid View icon is selected from the toolbar
  • Click on the "Size(KB)" label at the top of the Size column. The files will sort by smallest to largest in (KB) Size
  • Click on the Size column once more to sort from largest to smallest.

Rename or Delete files

Files can be renamed or deleted when they are not being used in email campaigns, as indicated by the link icon in the File pane.
To rename or delete a file, right-click and click the appropriate menu option. Alternatively, to select the file and click the DELETE button in the Media Library toolbar.

Uploading Files

To upload a file, select a desired Folder from the Folder pane in Media Libraries section and follow these steps:

  1. Click the ‘Upload Files’ button located at the top left of the Media Library section. The ‘upload’ pop-up window will appear.
  1. Click the Browse button to locate and select the file from the local computer.

  2. Once selected. The to-be-uploaded file(s) name will appear at the top of the Upload pop-up window.
  3. To upload multiple files, repeat ‘Browse’ process (Step 2) to add additional files to be uploaded from the local computer.
  4. If necessary, checkmark "Overwrite if file exists?" option (if a file being uploaded already exists within the Media Library, selecting this option will overwrite the original).
  5. Review the selected files at the top of the Upload pop up. If desired, eliminate a file from being uploaded by selecting ‘Remove’ button next to it.
  1. Click ‘Upload’ to begin the Upload process.

 
The uploaded file(s) will appear in the selected Folder within the File pane.
