Overview

The Campaigns section is one the central module elements where Email Campaigns, past, present and future are organized, created, modified, sent, and reviewed. It can be accessed by navigating to the Email Marketing module in Clubhouse Online E3, and clicking the Campaigns menu item.

Within the E3 Email Marketing module, a Campaign begins with the creation of an Email Message, and ends when this message is successfully sent to its selected recipients. Email Campaigns and Email Messages are thus not necessary the same in terms of terminology. An Email Campaign consists of several combined tasks, one of which is the Email Message itself. After a Campaign is successfully sent, its deliveries and statistics can be reviewed utilizing various report tools.

The three main tasks of a successful campaign are:
 
1) Creation of an Email Message

The actual email message that will be sent to the content. Potentially consisting of images, texts, and hyperlinks. The email message includes addressing (contact) information and an email subject line.

2) Selection of Recipients

Recipients are the contacts that the email is sent to. During the campaign, the contacts are chosen from a predefined list (created in the Lists and Segments module section).

3) Scheduling of Campaign

Email Campaigns can be scheduled in various ways. Many occasions will require the email to be scheduled and sent right away. Other times, it may be beneficial to schedule emails days/weeks in advance or use automation processes (such as for members birthdays, and anniversaries if applicable).

Once scheduled, the sending process of the email message will begin based on the selected time and date. The 'Schedule & Send' button will turn into ‘Stop Send’ allowing a user to stop the delivery process. It takes on average a few minutes to begin the sending process. The sending may occur in batches (groups) and does not necessarily send the email message to all contacts at once.

 
 
NOTE: Due to the nature of Email technology in general. Once the email message is delivered to a contact, there is no way to cancel or retrieve it from the senders end.

Basic Functionality I - Columns

In this section, the Campaigns are organized by columns. Each column provides relevant information such as the Camapaigns name, status, sent date, and an action link. Some of the columns feature a searchable field bar, located at the top. The search field can be used to filter or search content within the corresponding column.

Clicking on the column label (such as Name, Subject, Status, etc.) will sort the columns. First label click will sort the column based on ascending order, a second click sorts column by descending order. For example, to sort all Campaigns from the newest to oldest based on Modified Date, click on Last Modified date label to sort oldest to newest. Click once more to sort from newest to oldest.

The Campaign section features the following columns in their respective order from left to right:



Name: The assigned name of the Email Campaign (for internal purposes only)

Subject: The subject line of the email of the campaign (as seen by recipients)

Status: The current status of the campaign. Each email campaign is assigned a status which is visible under the Status column: The table below outlines the statuses in more detail:

Incomplete An email campaign has been started, but was abandoned before completing the steps.
Draft All required steps have been completed for the Email message. Recepients can now be selected or campaign can be sent.
Scheduled The Email Campaign has been scheduled to be sent at a later date and time. In order to make changes to the email or recipients for a scheduled email campaign, it must first be stopped.
Sending The Email Message is currently being sent. The progress can be viewed on the Email Campaigns tab.
Sent The Email Campaign has been sent. A report is available for this email campaign. To send it again, again or reuse it in another way, duplicate it to create a copy.
Queued The email campaign's next scheduled start time has occurred, and it is being prepared for delivery.
Scheduled Recurring The email campaign is on a recurring (instead of one-time) schedule.
Workflow The Email Campaign has been saved for use with workflows. It cannot be scheduled or sent the email campaign independently from a workflow (a workflow must be set up to send this Campaign).
 
TIP: For an email campaign with the Sending status, you can hover your cursor over the circle icon beside the status name. We'll display a small window showing current completion statistics and the estimated send time remaining.



Recipients: Indicates the selected recipients to receive the email campaign (a Segment or a List). A maximum of three selected recipient lists display. Exclusion or suppression list do not display. Click a recipient list to go to the Contacts tab, where recipients can be viewed. If more than three recipient lists have ben defined, a [+] is displayed. Hover cursor over the + to view a flyout window that shows a breakdown of the recipients, exclusions, and suppression lists for this email campaign.

Scheduled: provides the date and time when this email campaign is scheduled to be sent or when it was sent.

Last Modified: displays the date and time when you most recently made changes to this email campaign.

Last Sent: displays the date and time when this email campaign was most recently sent.

Action: Shows the avaliable actions that can be triggered based on the status of the Campaign. For example, 'Select Recipients', 'Edit', or 'Schedule & Send' links may appear based on the next step to advance the Campaign towards completion.
 

Basic Functionality II - Top Buttons

Existing Campaigns can be managed by using the buttons found at the top of the section. Not all buttons are visible and accessible for every Campaign. The accessibility of various buttons depends on which stage (or status) the Email Campaign is currently in.

For example, Email Campaigns that have not been sent before, will not have the ‘RESEND’ button available. Similarly, campaigns that are in the Edit stage, cannot be scheduled via the ‘Schedule & Send’ button until the Email Message is complete.

For illustration purposes, the images below include all buttons as if they are active and usable.

Note that many of the functions represented by these buttons are available during the Campaign Building process (the three main stages the Campaign Wizard provides). As such, they are not exclusive to the action bar at the top of the Campaigns section.

The functions of each button are listed below:


New Email campaign is used to begin the process of creating a new Email Campaign. Clicking the Orange button directs a user to the next step of selecting the desired editor.

Clicking the arrow to the right of the button, will bring up additional options, allowing the direct selection of Editor Choices, as well as uploading HTML code directly in three different options.
 
Full Email Editor: Creates a new message using the WYSIWYG Email editor
Smart Email Builder: Creates a new message using the Smart Email builder editor
Upload HTML: Creates a new email with HTML code editor. To be used if a complete HTML file of the email message is to be uploaded.
Copy/Paste HTML: Creates a new email with HTML code editor. To be used if a complete HTML source code of email message is to be copied over.
From URL: Allows to import HTML content from an existing URL address.
Recipients allows the selection or modification of already selected Recipients (lists or segments) for a specific Email Campaign. This button is available only if the Campaign is at an appropriate status (such as ‘not scheduled’) or if recipients have already been selected in a previous stage.

Schedule & Send schedules the Email Campaign to be sent to selected recipients. Email Campaigns can be sent only once, configured to be recurring and/or sent at a present or future date and time. This button is available only of the Campaign is at an appropriate status (such as Draft) when the Email Campaign is ready for the Sending stage.

Edit redirects user to the Edit portion of the Email Message where the layout design and content can be modified, created, and reviewed. What loads after clicking this button depends on the type of Email message that was selected during Campaign creation (such as Full Editor, Email Builder and HTML message). This button is available for all Campaign statuses except ‘Sent’.
Once a campaign is sent, it cannot be edited directly. Rather, a copy of the Campaign must be created first, the copy can then be edited.
Resend facilities the sending of a previously sent campaigns. This button is available for only those Campaigns with ‘Sent’ status.
Copy creates a copy of the selected campaign. May be used for resending a campaign or creating a copy for testing where the original should be left intact. This button is available for all Campaign statuses.

Once clicked, the Campaign will be copied and added to the list of Campaigns. By default, the campaign will have the same name as the original, followed by a number prefix. This is assigned automatically as each Campaign name must be unique.

A notification bar will appear at the top of the page indicating that the ‘Email Campaign successfully copied’, click the Edit link in the notification bar to edit the copied campaign.

Delete allows for the deletion of selected campaigns. It is possible to delete campaigns on a single bases or in batch. The latter can be done by checkmarking selected campaigns using the left hand most column. A Green notification bar will appear at the top stating ‘Successfully deleted email campaign’. To restore campaign right after deletion, click the ‘Undo’ link in the Green notification bar. The notification bar disappears after 5 seconds.



NOTE: Once an Email Message associated with a campaign has been deleted, it may be difficult to retrieve. For emergencies, please contact the appropriate Support Department by phone or email to see if restoration of the email message/campaign is possible.
