Tee Time Enhancement: Allow Members to Add Themselves (and Others) to Existing Tee Time Requests

3/6/2013

The spring is nearly upon us and with that brings the promise of another golf season. As part our ongoing commitment to continually enhance the functionality available to our clubs and their members, we introduce the ability for members to add themselves to existing lottery requests (ballots). This ability is completely within the control of the club first, and the member making the request, second.

To take advantage of this functionality, your club must be using ClubHouse Online Tee Times in conjunction with Jonas Tee Times and Lottery. If you satisfy those conditions, this functionality can be enabled by making the following configuration changes to your website.

  1. Go to Club Central> Adminstration> Tee Times> General Settings
  2. Within the Booking Info section the following options need to be enabled:
  3. In addition, you have the option to configure the default setting for whom the booking member will allow to add to this request. This, in large part, determines eligibility of members. This can be set to ‘No Member’, ‘Buddies Only’, or ‘Any Member’. When set to ‘No Members’, no one will be able to add themselves to this request. The member that made the request will be able to edit the request and add people, but no one else will be able to do so. When set to ‘Buddies Only’, only members who are part of the buddies and/or groups of the member that created the request will be able to see the button to add to the request. They can add anyone they want, however, members who are not part of the creating members buddies and groups will not be able to see the button. When set to ‘Any Member’, the add button will be visible to all members. Keep in mind, however, that this is merely a default setting which can be altered only by the member that creates the request. Any members adding themselves (and others) to an existing request will not be able to modify this setting.

Once these settings are configured, members will have the opportunity to allow other members to add their requests and eligible members will be able to add to existing lottery requests by way of the ‘View and Add to Lottery Requests’ button.

Upon clicking on the ‘View and Add to Lottery Requests’ button, members will see all of the requests for that day, and for those that they are eligible to do so, they will see the ‘Add to Lottery’ request button. There are four scenarios in which a member will not see the ‘Add to Lottery Request’ button, they are as follows:

  1. A Member is already part of the request.
  2. The request is set to ‘No Member’ or ‘Buddies Only’ and the member is not a buddy of the member who created the request.
  3. The request has already reached the maximum number of players.
  4. The request was created in the pro shop by way of Jonas Tee Time Management and is not subject to additions.

Provided the member see the button, by clicking on it, the booking screen will be launched and they will be added to the request. If there still remain slots on the request, they will be able to add others by entering a player into the slot provided. While adding to the request, the adding member has no ability to do anything but add players, they cannot:

  1. Modify Earliest and Latest Acceptable Times, if enabled.
  2. Modify the ‘Add to Wait List Option’, if enabled.
  3. Remove any players already on the request and/or modify their preferences.

To complete the action, the member needs only to click on ‘Update Request’ and the request is updated. Once the update is completed, the request will be modified. This request will now appear in the ‘My Bookings’ screen of the member that added him/herself to the request, however, they will only be able to edit the request and their ability to edit will be limited to removing themselves or editing their own preferences. They will not be able to add or remove any players, and if they had added a player when they added themselves to the request, they will not be able to edit that player, either. They are not the ‘owner’ of the request and thus, they do not have rights to edit anyone else on the request.
