Media Libraries


Think of the Media Libraries as the online storage area for any images and documents that you want to use on the website. It has to first be uploaded into the Media Libraries section before it can be used. Once it's in the Media libraries the files can be accessed from any page on the website or even the Event Management section to add information into the Description section when creating a new event.

The Media Libraries can be accessed two ways.

1. Through a page during the insert image process or insert/edit link process.
   
2. To access the Media Libraries directly.
  • Login to website and SWITCH TO CLUB CENTRAL
  • Click on MEDIA LIBRARIES from the DASHBOARD




In the Media Libraries section
  • DO NOT create any new media libraries
  • Most clubs will only have one Library called Site Media
  • Some clubs may have a second Library called Private/Member Media - these were created to keep images and documents that are strictly for Members only to see in a separate Library
  • Click on the green pencil icon beside the Library that you wish to edit


 

Site Media


The Site Media is where images and documents to be used on the website should be uploaded. To be better organized Folders can be created.
Within the Folders is where files (Images, PDFs, Word, Excel, Videos etc...) can be uploaded.
Folders can be Created, Deleted, Copied and Moved within the Site Media.
Files can also be Uploaded, Deleted, Copied or Moved into another folder within the Site Media as well.
 
Note: If the file (Images, PDFs, MS Word, MS Excel, Videos etc...) has already been inserted or linked to a page and the file is moved afterwards, the file path/location of that document has now changed. The image on the page will no longer appear and instead a red x will display and a hyperlink to a PDF document will probably say page not found. After a file has been moved to a new folder in the Site Media, remember to re-insert or re-link the document on the page.


 

Create Folder in Site Media


Creating folders is a method to better organize the files in the SiteMedia
  • Select SITEMEDIA Folder
  • Click on + (plus sign) to create New Folder



In the NEW FOLDER Window
  • Give the new folder a name, Folder name:
  • Click on SAVE & CLOSE

The New Folder will be added under SiteMedia and sorted Alphabetically

Sub Folders can be created as well.
  • Click on an existing folder under the SiteMedia Folder
  • Click on the + plus sign to create New Folder
This will create a sub folder under the folder name that was selected

   





 
NOTE: It is a best practice to utilize the Media Library as much as possible. Media files can be stored and organized into folders. Media Library files can be used in various locations on the website. Editing a media file will automatically adjust it accordingly on the pages displaying the media file.
 
TIP: Creating folders and organizing the media files can help alleviate clutter within the media library.



 

Upload Files to Media Libraries


In the MEDIA LIBRARIES > SITE MEDIA section
To upload an Image or Document from your computer into the Site Media area.

Select Folder to upload photo
Click on UPLOAD Button



A window will open that allows you to browse your computer/network for the image that you want to use.
  • Select image
  • Click on OPEN button



The image map.png is now uploaded into the Contact Us Folder.
When working on a specific page on the website, or within the Event Management (calendar) section this image will be available to be selected and added to that page.



 

Delete Files from Media Libraries


Files can be deleted individually or they can be deleted along with the folder that they were saved in.
Before a file or folder is deleted, double check that it's a file (image or document) that does not belong on the website anymore. Once deleted and it's something that should still be on the page, the image will no longer appear and instead a red x will display and a hyperlink to a PDF document will probably say page not found.
In the event that files were deleted in error, they can be restored from the My Recycle Bin section found on the Dashboard.
 

Delete Folder and Files


To delete a Folder because it was named incorrectly or the files in the folder are no longer needed.
  • Click on a folder name that is no longer needed in Site Media
  • Click on the BLACK TRASH CAN icon at the top of the page
  • A pop up window will appear confirming "Are you sure you want to delete folder 'name of folder' and all its content?"
    • Click CANCEL if you selected the wrong file, and cancel the deletion process
    • Click OK to complete the deletion process
The Folder with all of its contents are now deleted.





 

Delete Files only


To delete an Image or Document
  • Click on folder name where image or document is located within the Site Media
  • In the right hand pane
  • Under the the ACTIONS Column
  • Check box beside file that needs to be deleted
  • Click on the RED TRASH CAN icon
  • A window will appear confirming " Are you sure you want to delete this item?"
    • Click CANCEL if you selected the wrong file, and cancel the deletion process
    • Click OK to complete the deletion process
  • The File is now deleted.






 

Copy Files Within Site Media


Usually used when the folders and files in the SiteMedia section need to be reorganized.
An entire folder along with all the files can be Copied and moved to another folder, or a copy of a file can be moved to another Folder on its own.


Note: If the file (Images, PDFs, MS Word, MS Excel, Videos etc...) has already been inserted or linked to a page and the file is moved afterwards; the file path/location of that document has now changed. The image on the page will no longer appear and instead a red x will display and a hyperlink to a PDF document will probably say page not found. After a file has been copied to a new folder in the SiteMedia, remember to re-insert or re-link the document on the page.
 

Copy Folder and Files

  • Click on folder name to be copied (i.e. Banquets(1)).
  • Click on COPY icon which looks like two pages stacked on top of each other.



COPY FOLDER window will appear
  • Click on folder name (button_images) to copy the selected folder name in to. If the folder selected had files those would be copied as well.
  • Click on COPY.



There is now a COPY of the Banquets folder within the button_images folder.


 

Copy Files to Another Folder

  • Click on folder name where file is located to be copied (i.e. Banquets (1))
  • In list of files, check the box beside file name(s) that you want to make a copy of
  • At the bottom there are two drop down boxes
  • First box: Selected Files drop down box - change this only if you want to select all the files in the folder to be moved
  • Second box: (select an action) drop down box - click on it and select COPY
  • Click on OK




COPY FILES window will appear.
  • Click on folder name to copy file into (i.e. banner_images)
  • Click on COPY button on the bottom



The Banquet.jpg was copied from the Banquets folder into the banner_images folder. The banner_images folder now has 20 photos instead of the 19 that it started out with.




 

Move Files Within Site Media


Usually used when the folders and files in the SiteMedia section need to be reorganized.
An entire folder along with all the files can be Moved to another folder, or a file can be moved to another folder.

Move Folder and Files into Another Folder

  • Click on folder name to be moved (i.e. Banquets(1))
  • Click on MOVE icon which looks like one page with an arrow pointing right on it.


MOVE FOLDER window will appear
  • Click on folder name (Contact Us) to move the selected folder name in to it. If the folder selected had files those would be moved as well.
  • Click on MOVE button on the bottom.


The Banquets (1) Folder has now been moved into the Contact Us (3) Folder, so it appears as a Sub Folder.

Move Files to Another Folder

  • Click on folder name where file is located to be moved (i.e. Banquets (1))
  • In list of files, check the box beside file name(s) that you want to move
  • At the bottom there are two drop down boxes
  • First box: Selected Files drop down box - change this only if you want to select all of the files in the folder to be moved
  • Second box: (select an action) drop down box - click on it and select MOVE
  • Click on OK


MOVE FILES window will appear.
  • Click on a folder name to move file(s) into (i.e. Contact Us)
  • Click on MOVE button on the bottom




The Contact Us Folder now indicates Contact Us (4) because the banquets.jpg image was moved from the Banquet folder. Also, it now indicates Banquets (0) instead of Banquets (1).
