General Information

Within this section, you will define the following parameters of your new Event, as well as edit those of an existing event.

To create an event click on the Administration tab in Club Central > Click Event Management > Then click on Create Event




Event Name Simply enter the name of the event.
 
Categories Select one or more Categories to which this event will be assigned.

The Calendar, List Events and even the Calendar at a Glance web part can then be filtered by these Categories.

The Categories themselves are defined within the Manage Event Categories screen.
 
Locations Select one or more Locations in which this event will take place.

These will be displayed within the View Event screen so that registrants know where the event is taking place.
 
Description The content created within this section will be shown within the View Event screen when users click on an Event Name from within the Event Calendar or List of Events.

Create a poster for your event using the full HTML editor to insert text, images, tables et. al.

 

 

Date Specify the date on which the Event (or perhaps the first instance of a series – in the case of a recurring event) will take place.
 
Time(s) First, you must select a time type - Regular, All Day, No Time, or No End Time. By default, Regular is selected. Regular events allow you to add more event times – this is ideal if you have an event for which there will be multiple seatings.

Events of a Regular Time Type have start and end times and you will have the ability to specify both.

All Day events do not have start or end times, however, All Day will be displayed in any place where the Event’s time is displayed.

No Time events have no specific start or end time, and will have nothing displayed in any place where the event’s time is displayed.

No End Time events are those without an end time. You will have the ability to configure its start time, however, you will not be able to configure its end time.

The Start Time with an open ended end time will display in any situation where the event’s time is displayed (eg. 9:00pm - ).
 
Multiple Event Times If the event is of a regular time type, you will have the ability to create multiple event times – essentially, the event will occur multiple times on the same date (eg., Mother’s Day Brunch).



To create multiple event times, click the ‘Add New Seating Time’ button. This will allow you to create events with multiple seatings.

Once you’ve added a time, simply specify its start and end times in the fields provided.

Each event can have up to 10 event times, however, all of these must be mutually exclusive (none of the times can overlap).
 
Recurrence (if any)

Once checked, you will have the ability to specify recurrence according to one of four styles – Daily, Weekly, Monthly  or Yearly.




Daily recurrence allows you to specify how frequently the event repeats in number of days – if 1 is specified, the event will repeat every day. Additionally, you can configure the point in time at which the recurrence stops. This can be set to Never, After some configurable number of occurrences or By a specific date.



Weekly recurrence allows you to specify how frequently the event repeats in number of weeks.

Additionally, you have the ability to specify the day(s) of the week on which the event will repeat. So, for every recurrence the event will repeat on the days specified.

You can also configure the point in time at which the recurrence stops. This can be set to Never, After some configurable number of occurrences or By a specific date.



Monthly recurrence allows you to specify how frequently the event repeats in number of months and allows you to choose the day on which it recurs among two options – the exact same day of the month as the first instance (the date you configured in Event date, if this is December 22 then all subsequent occurrences will take place on the 22nd of subsequent months) or specify the particular instance of a day of week during subsequent months (eg., the third Saturday).

Additionally, you can configure the point in time at which the recurrence stops. This can be set to Never, After some configurable number of occurrences or By a specific date.



Yearly Recurrence allows you to specify how often the event repeats in number of years.

You will have the ability to specify when subsequent instances occur by selecting the same month and date of the first instance (the date configured in Event Date – if it’s December 22nd, then you can have the event occur on December 22nd in subsequent years) or pick the particular instance of a day week within the month of the event date (i.e., the 3rd Saturday in December).

Restrictions Various restrictions can be enabled for an event, these include the minimum age to attend, whether guests are or aren`t allowed to attend, and gender restrictions as well as if the event will be listed in the Calendar at a Glance web part.



Minimum Age Check to enable a minimum age. Once checked, specify the age minimum for the Event. Registrants must be this old or older to attend. This cannot be equal to or greater than the lowest maximum age of all Age Applied Registrant Categories (please see Registration and Pricing).

Guests Determines whether or not the event allows guests.

Gender Determines whether or not the event has gender restrictions. Default is none.

Show in Calendar at a Glance Determine whether or not the event will appear in the Calendar at a Glance web part.
 
Other Settings The other settings area includes the notification settings for an event, as well as any cancellation policy that may be assigned, and any ClubbroadCast tracking code that may be added.



Notify Member This checkbox allows you to control whether or not the members will receive an email notification for registrations, cancellations.

Notify Company This checkbox controls whether someone at the club, i.e. the event coordinator, will receive notification emails when someone registers, or makes changes to a registration.

Cancellation Policy Here you can select a cancellation policy you have created to assign the policy to this specific event. Cancellation Policies can be referenced in the documentation found here.

Club Broadcast Code In this box you can enter your Club BroadCast conversion code, allowing you to track conversions from your email marketing campaign for this event.
